Withdrawal Policy
Event Withdrawal Policy
Unless otherwise stated, we will provide a 75% race credit on Ultrasignup towards a future Aravaipa Running event if notified in writing to info@aravaiparunning.com 30 days out from the event. If notified 5 days prior to the event, a 50% race credit may be provided in case of injury or family emergency. No race credit will be issued within 4 days of the event or after the event. Registered individuals who become pregnant are eligible to receive 100% race credit for the event that they must withdraw from. They will be granted two years from the date they reached out to use this credit before expiration.
Credits will be good for one year from date of issuance and can only be used once. If you withdraw from an event for which credits were used, you will not be reissued those credits. This reissuance policy also includes credits earned and used by volunteering. No cash refunds or transfers to another participant or event will be issued under any circumstance. No selling of entries is permitted. No refunds or credits will be provided for dropping down in race distance.
In March of 2020 the Aravaipa withdrawal policy was modified to accommodate runners throughout the Pandemic. We have since reverted to the standard Aravaipa withdrawal policy. All full deferrals & withdrawals processed before 11/9/2021 will be honored. For any series options, there is no refund for missing one or more races in the series, whether notified before or after the event. For relay teams, no refunds, transfers, rollovers, or credits will be provided for withdrawal. Team members may be changed as specified by each event. Individuals who are pregnant are eligible to receive 100% race credit for the event that they must withdraw from. For merchandise, tent rentals, or other add-ons (but not including the standard shirt or equivalent goodie), we will provide a 100% future race credit for the cost of the merchandise, tent rental, or other add-on on ultra signup up until we order the items. After we place the order, we cannot provide any refunds or credits. Race shirts may only be picked up in person at packet pickup or on race day, we cannot mail out shirts to participants that do not attend the event. We understand that issues arise at the last minute that can prevent a runner from arriving at the start line. We incur most costs early on in the planning process, and this policy represents our ability to reasonably provide something to runners who cannot attend, while keeping our entry fees low and quality high.
